This page says what Loading Academy, operated by Alwaysloading Ventures LLC, does with your personal information. It covers loadingacademy.com, our character sites, the member portal, our emails, our rooms and our calls.
We are the controller of this data, which means we decide what is collected and why, and we are the ones you hold to account for it.
Two things worth saying up front:
- We never sell your personal information, and we never share it for cross-context behavioural advertising. There is no arrangement under which anyone pays us for your data, in money or in kind.
- You can have your data deleted. Section 8 says exactly how, and it takes a few clicks in the portal or one email.
1. What we collect and why
You give it to us
| What | When | Why we need it |
|---|---|---|
| Your name | Signing up, buying, applying | To address you properly, to run your account, and to put a name on your invoice |
| Your email address | Signing up, buying, requesting the guide, saving a seat | To send the guide, the course, your receipts, your renewal reminders and the emails you asked for, and to reach you about your account |
| Your phone number. It is required if you are in the United States and optional if you are outside it | On the guide form and at checkout | To send you the guide link you asked for. Giving us a number is not consent to marketing texts, and we do not send marketing texts (see section 4) |
| Your quiz and application answers | The quiz, the Accelerator application, the fit call | To point you at the right chapter, to decide whether the Accelerator is a fit, and to prepare for your call |
| Your time zone | Detected from your browser, or from what you tell us | To show session times in your own time, to schedule calls, and to keep any future messaging inside daytime hours |
| What you post in our rooms, hand in through the portal, or say on a call | While you are a member | To run the community, review your weekly work, and support you |
| Support messages you send us | Any time | To answer you and to keep a record of what was agreed |
It happens as you use the service
| What | Why we need it |
|---|---|
| Which lessons you opened, how far through a video you got, which templates you downloaded, which weekly work you handed in | To show your progress, to unlock the next step, to check guarantee milestones, and to see which lessons are working |
| Which emails you opened and which links you clicked | To send you fewer and better emails, and to stop sending to addresses that no longer work |
| Your IP address, browser, device type, operating system and the pages you visited | To keep accounts secure, to spot fraud and abuse, to fix faults, and for analytics about how the site is used |
| Cookies and similar storage | See section 7 and the Cookie Policy |
It comes from somewhere else
| What | Where from | Why we need it |
|---|---|---|
| Your payment details | Stripe | So you can pay. See below |
| Your Discord user id and server roles | Discord, once you connect your account | To put you in the right rooms and give you the right role, and to take it away when your access ends |
| Your Telegram user id | Telegram, once you start the bot | To send you the guide and the daily lessons you asked for, and to stop when you send /stop |
| The time and outcome of a booked call | Calendly and Google | To hold the booking and to know what was discussed |
Payment details are not held by us. When you pay, your card details go straight to Stripe, our payment processor. We never see or store your full card number. What we get back from Stripe is the fact that a payment succeeded or failed, the amount, the last four digits, the card brand, the country, and an identifier we use to link the payment to your account.
We do not collect special category data, and we ask you not to send it to us. Where our questionnaire asks about money, it asks in ranges only, and the form says why it is asking.
2. Why we are allowed to use it, for UK and EU visitors
If you are in the UK or the EU, data protection law says we must have a legal basis for each use. In plain words, ours are:
- Because we have a contract with you. Running your account, giving you access to the course and the rooms, taking payment, sending receipts and renewal notices, and supporting you. Without this data we cannot give you what you paid for.
- Because you said yes. Marketing emails, the daily Telegram lessons, analytics and any non-essential cookies, and showing your work in our marketing. You can take that yes back at any time, and taking it back does not undo anything we did before you did.
- Because we have a legitimate interest. Keeping accounts secure, stopping fraud and abuse, understanding how the site is used so we can improve it, and defending ourselves if there is a legal claim. We only rely on this where it does not override your rights, and you can object at any time using section 8.
- Because the law requires it. Keeping billing and tax records, and responding to a valid legal request.
Where consent is the basis, we ask for it separately, we never pre-tick the box, and refusing does not stop you buying anything.
3. Who else sees your data
We share your data only with the companies that help us run the service, and only with what they need to do their job. Each of them is bound to use it for us and not for their own purposes.
| Who | What they do for us | What they get |
|---|---|---|
| Stripe | Payments, subscriptions, the billing portal | Your name, email, payment details and billing history |
| Brevo | Email sending | Your name, email, and what you opened and clicked |
| Mux | Video hosting and playback | Video viewing events, IP address |
| Cloudflare | Delivery, caching and security | Your IP address and request data |
| Vercel | Hosting the website and the portal | Your IP address and request data |
| Convex | The application database | Your account data, progress and submissions |
| Discord | The members and cohort rooms | Your Discord id, roles and what you post there |
| Telegram | The bot and the free room | Your Telegram id and the messages you send the bot |
| Calendly | Booking calls | Your name, email and booking details |
| Video calls, calendars and call recordings | Your name, email and the call itself |
We may also share data with our accountants, our lawyers and our insurers where they need it, and with a company that takes over our business, in which case we tell you first.
We hand data to law enforcement or a regulator only where a valid legal request requires it, or where we need to protect someone's safety. Where we are allowed to tell you, we do.
We do not sell your data, to anyone, ever. We do not share it for anyone else's advertising.
4. Text messages
We collect and store your consent to receive text messages so that we have a record of it, including the time, your IP address, the page you were on and the exact wording you agreed to.
The phone field and the consent tick are two different things. On the form that gives you the guide, the phone field is required if you are in the United States and optional if you are outside it. We use the number to send you what you asked for. The tick beside it, for marketing texts, is separate, optional and never ticked in advance, and it is the only thing that lets us text you anything else. If we ever do send marketing texts, the frequency is up to 8 messages a month.
We are not sending marketing text messages at launch. Consent is recorded, and no marketing texts go out. If we start sending them, we will send only to people who ticked the box, only in the United States, and only between 9am and 8pm in your local time. Every message will tell you how to stop, and STOP will work immediately. Consent to texts is never a condition of buying anything.
5. How long we keep it
| What | How long |
|---|---|
| Your account and course progress | While your account is open, then deleted as section 8 describes |
| Marketing contact details | Until you unsubscribe or ask us to delete them, then we keep a minimal suppression record so we do not email you again by mistake |
| Leads who never bought and never opened anything | 24 months from the last time you interacted with us |
| Support messages | 24 months from the last message in the thread |
| Room and call content | While the room or cohort exists. Cohort recordings are kept for the life of that cohort's access |
| Consent records, including SMS and cookie consent | For as long as we rely on that consent, plus the period we may need to prove it |
| Billing and tax records | 7 years, as the law requires. After a deletion request these are kept with your name removed, so they show the transaction but not the person |
| Signed agreements and their signature record | 7 years from the day you signed. The signature record is your typed name, your email, the time you signed, your IP address and your browser. It is kept as signed, also after a deletion request, because it is the evidence of what was agreed. Then it is deleted |
| Security and access logs | 12 months |
When something reaches the end of its period we delete it or strip it of anything that identifies you.
These are the periods we hold ourselves to. We keep something longer than the period above only where the law requires it, for example a billing record we must keep for tax, or something we are formally required to preserve for a legal claim or an investigation. We do not keep data longer because it might be useful one day.
6. How we keep it safe
- Everything travels over an encrypted connection, and data is encrypted where it is stored by our providers.
- We do not hold card numbers. Stripe does that, and Stripe is audited for it.
- Access to member data is limited to the people who need it to do their job, each with their own login and two-factor authentication.
- We use well-known, security-audited providers rather than building our own infrastructure, and we keep the list in section 3 current.
- Passwords are stored hashed, so nobody at Loading Academy can read yours.
- We keep access logs, and we review them when something looks wrong.
No system is perfectly secure, and we will not pretend otherwise. If a breach happens that puts you at risk, we will tell you and the relevant authority without undue delay, and we will tell you what happened, what we did about it, and what you should do.
7. Cookies
We use cookies and similar browser storage to keep you logged in, remember your preferences and understand how the site is used. Analytics at launch is first party. Marketing and advertising trackers are switched off.
Visitors in the UK and the EU see a cookie banner and choose what to allow before any non-essential cookie is set. For visitors outside the United States, the marketing option is never pre-ticked.
The full list, and how to change or withdraw your choice, is in the Cookie Policy.
8. Your rights, and how to use them
Whoever you are and wherever you live, you can ask us to do all of the following. We do not charge for it and we do not make it hard.
- See what we hold. Ask for a copy of the personal information we have about you.
- Correct it. Tell us what is wrong and we will fix it. Most of it you can edit yourself in the portal.
- Delete it. Have your personal information erased.
- Export it. Get your data in a machine-readable file you can take elsewhere.
- Stop marketing. Unsubscribe from any email with the link in its footer, send /stop to the Telegram bot, or ask us. This takes effect immediately and never affects your access to something you paid for.
- Object, or ask us to limit what we do. Tell us you object to a particular use, and we will stop unless we have a compelling reason not to, which we would explain.
- Take back a consent you gave, at any time.
- Complain. Tell us first at legal@loadingacademy.com. If you are in the UK or the EU you also have the right to complain to your national data protection authority, and using us first does not take that away.
We will never treat you worse, charge you more, or give you less because you used one of these rights.
How to do it
From the portal. Open your account settings and choose delete my account. It does all of this at once:
- A Pro subscription you hold is cancelled, so you are not charged again. If you hold an Accelerator seat or still owe plan payments, we write to you first, and the deletion waits until that is settled.
- You get a confirmation email, and there is a 7 day grace period in case you change your mind or it was not you. Stop it inside those 7 days and your account stays as it was. A Pro subscription that was unpaid or paused when you asked, or whose paid period ended in the meantime, stays ended.
- After the 7 days your personal details are erased: your name, email, phone number, quiz and application answers, progress, submissions and support history.
- Your Discord roles are removed and you are removed from the members and cohort rooms.
- Your billing records stay for 7 years because the law requires it, with your name removed, so they record the transaction and not the person. A signed Accelerator agreement is the one exception: it is kept as signed for 7 years from the day you signed it, then it is deleted.
By email. Write to support@loadingacademy.com from the address on your account and say what you want: a copy, a correction, a deletion or an export. We complete it within 30 days. If a request is unusually complex and we need longer, we tell you inside those 30 days and explain why. Every request is logged with the date we received it and the date we finished it.
If we need to check it is you, we will ask, and we will ask for as little as possible. Usually replying from the email address on the account is enough. We cannot act on a request we cannot verify, because doing so would be the bigger privacy problem.
If someone asks on your behalf, such as an agent or a relative, we will ask for proof they are allowed to, and we may check with you directly.
9. Children
Loading Academy is for adults. You must be 18 or older to make an account, join a room, attend a session or buy anything from us. We do not knowingly collect personal information from anyone under 18, and we do not market to children.
If you believe a person under 18 has given us data, email legal@loadingacademy.com and we will delete it and close the account.
10. Where your data goes
We are based in the United States, and our providers are mostly in the United States. If you are in the UK, the EU or anywhere else outside the US, your personal information will be transferred to and stored in the United States, and may be handled in other countries where our providers operate.
The United States does not have the same data protection law as the UK or the EU. To protect your data when it moves, we use providers who commit to approved transfer safeguards, we put the standard contractual terms in place with them where those are required, and we keep the transfer to what is necessary to give you the service.
You can ask us for details of the safeguards that apply to a particular provider by emailing legal@loadingacademy.com.
11. Changes to this policy
We update this page when what we do changes. The version and the date at the top always tell you which policy is current, and every version is kept on record.
If a change matters to you, meaning it changes what we collect, why we collect it, who receives it or how long we keep it, we email every active member at least 14 days before it takes effect and show a notice in the portal. Where the change needs your consent, we ask for it rather than assuming it. Small corrections and clarifications go up with a new date and nothing more.
